Put the history in one place
Write a short account of the problem: when it started, where water appeared and what has already been done. Add dated photographs and previous contractor notes. Keep the relevant details from the tenant’s report, sharing personal information only with people who need it to arrange the work.
Agree the practical arrangements
Agree authorised access with the occupants and property contacts. Confirm who will meet the engineer, how they can be contacted and how long they can stay. Ask ADI about the expected appointment length. Mention parking, entry codes, locked communal doors and areas where access has to be arranged separately.
Check the preparation instructions
Ask which cupboards, controls or inspection points need to be accessible. Heating investigations may have specific preparation instructions; obtain these from the booking team and pass them on accurately. Tell the team about any instruction from another contractor that affects what can be operated.
Choose the person who will receive the findings
Give the booking team the correct contact details for the person managing the work. After the visit, file the findings with the original photographs and note any questions that need answering before repair work is arranged.
